In these Terms and Conditions, the following words shall have the following meanings unless the context otherwise requires:

inter airport europe (the “Event”), to be held at Munich Trade Fair Centre, Munich, Germany from 07 to 09 October 2025.

Exhibitors means exhibitors who have contracted with RX to take stand space at the Event.

Hosted Buyer means a senior airport buyer, planner or manager, working on and/or for a current or upcoming airport project, who has registered to attend the Event and has qualified and been accepted by RX with authority to attend the Event as a Hosted Buyer, on the basis of these terms and conditions, to participate in the Hosted Buyer Programme.

Hosted Buyer Programme means an exclusive and limited capacity programme whereby RX may provide accommodation and other benefits to Hosted Buyers who, in return, agree to commit to certain Hosted Buyer Programme requirements including but not limited to a minimum number of Pre-Scheduled Appointments.

Pre-Scheduled Appointment means the appointment programme operated by RX to co-ordinate the appointments of the Hosted Buyer with Exhibitors during the Event.

Show Team means the RX Event team.

To participate at the Hosted Buyer Programme, all participants must be previously qualified as Hosted Buyer. Criteria needed to qualify as an Event Hosted Buyer are as communicated by RX to applicants.

To participate as a Hosted Buyer, all participants must be previously qualified.

Criteria needed to qualify as a Hosted Buyer are:

a) Hosted Buyer must be a senior airport professional.

b) Hosted Buyer must be directly involved in the purchasing and/or specifying of products and services for airport construction and development projects, the improvement of terminal and apron operations or system and process upgrades at international airports.

c) Hosted Buyer must attend with a clear agenda to find specific solutions for and be actively involved in on-going and upcoming airport development, expansion and modernisation projects across the globe.

d) Hosted Buyer must be willing to adhere to all Hosted Buyer Programme commitments.

e) Hosted Buyer must be able to speak English to an intermediate level in order to converse with international Exhibitors.

Successful applicants to the Hosted Buyer Programme will receive the following benefits:

a) Recognition as a key buyer in the market.

b) Up to three complimentary room nights in a 4 star hotel in Munich between 6 to 9 October 2025.

c) Complimentary breakfast at your allocated hotel.

d) Transfers to and from the hotel and Event venue. Schedule of pick up and drop off to be communicated by RX to the Hosted Buyer by email. For the avoidance of doubt, airport transfers are not provided as part of the Hosted Buyer Programme and will need to be booked at Hosted Buyers own expense.

e) Lunch on each day of the Event.

f) A complimentary ticket for the Welcome Party on Tuesday, 7 October 2025.

g) Entry ticket to the Event.

h) Access to Business Connect, a personalised event and meeting planning tool providing:

i. Personalised concierge support to understand your project needs.

ii. Tailored recommendations for relevant products to see and suppliers to meet, based on your registration responses.

iii. A diary tool allowing you to book your meetings with your chosen exhibitors, at a time that suits you.

i) Access to the designated Business Connect meeting area at the Event.

j) If applicable opportunity to participate in exclusive Hosted Buyer and networking events, as communicated by RX to successful Hosted Buyer by email.

k) Opportunity to attend all sessions of the Event conference programme.

ALL other costs and incidental expenses are the responsibility of each Hosted Buyer; examples include but are not limited to: flights, airport transfers, private transfers, all food and beverages, flight upgrades, flight time/date changes, hotel upgrades, hotel tax, additional nights' accommodation, personal extras, early hotel check in or late check out, travel and medical insurance. For the avoidance of doubt, Hosted Buyers agree to settle all expenses with the hotel prior to departure and will indemnify RX for any failure to do so.

All Hosted Buyers accepted onto the Hosted Buyer Programme must:

a) Attend Event in person.

b) Attend all days of the Event, unless communicated otherwise between the parties and agreed by RX in writing.

c) Ensure arrival on or before Monday, 6 October 2025 (day prior to the Event) and departure not to be before closing of Event on Wednesday, 8 October 2025.

d) Register to attend the Event as a visitor and complete the Hosted Buyer Interest Form.

e) Pre-schedule a minimum number of 15 meetings with Exhibitors across the three Event days, with a minimum of 5 appointments scheduled per Event day. Hosted Buyers must commit to a minimum of 15 pre-arranged meetings with exhibitors on the Event show floor through the Business Connect online tool. Hosted Buyers who are unable to honour an appointment onsite should contact the Exhibitor directly to arrange a more convenient appointment time.

f) Uphold all appointment diary commitments. Please note that appointment attendance will be monitored, and non-attendance shall constitute a breach of these terms and conditions.

g) Attend any mandatory Hosted Buyer events as scheduled.

h) Complete the Hosted Buyer & Company profiles in full.

i) Complete all meeting ratings.

j) Complete the Hosted Buyer and official post-show survey.

Failure to comply with the requirements as stated above and/or the terms and conditions may result in a removal of the persons Hosted Buyer status and any future applications to participate in the Event Hosted Buyer Programme.

RX takes no responsibility for:

a) Hosted Buyers who miss flights or any transfers

b) For the insolvency or failure of any airline company, hotel, ground handling company or any other supplier.

c) RX shall not be liable to Hosted Buyers, in contract, tort (including negligence) or otherwise for any loss of profit, loss of business or revenue, loss of anticipated savings or any indirect or consequential loss or damage, costs or expenses arising out of or in connection with the Buyers’ attendance at the Event

d) RX shall not be liable for the death or personal injury of any Hosted Buyer save where such liability cannot be excluded under English Law

e) Buyers applying to be a part of the Event Hosted Buyer Programme are consenting to their contact details being made available to all Event Exhibitors for the purpose of fixing additional meetings.

a) If you need to cancel your participation in the Hosted Buyer Programme, please do so in writing by emailing [email protected] as soon as reasonably possible.

b) If you miss seven (7) or more Pre-Scheduled meetings, you will be deemed to be a 'No Show' and your Hosted Buyer status will be cancelled along with any associated Hosted Buyer benefits including but not limited to associated accommodation.

c) Where cancellations need to take place, we ask the Hosted Buyer to extend the courtesy to the inter airport Europe organisers by trying to find a replacement from within their company.

a) Your hotel will be confirmed two weeks prior to the Event start date.

b) Hotel accommodation will be provided between 6 - 9 October 2025, accommodation is provided on a one bed single occupancy basis. RX will not be responsible for extra room costs incurred during the stay. Any room upgrades will be solely at the discretion of the hotel management and any additional upgrade charges shall be borne by the Hosted Buyer.

c) Check in time at the hotel will be confirmed 2 weeks prior to the Event start date. Early check in or late check out expenses are NOT included in the Hosted Buyer Programme and such arrangements are to made and paid for directly with the hotel by the Hosted Buyer.

d) Hosted Buyers are kindly asked not to submit requests for a particular hotel unless for mobility, dietary or bed arrangement requirements.

e) Additional nights’ stay in order to arrive by 6 October 2025 will be the responsibility of the Hosted Buyer to arrange and pay for.

f) If additional accommodation is required, you must contact the hotel directly. Bookings for additional accommodation will be confirmed directly to the Hosted Buyer by the hotel.

g) Accounts for the additional accommodation as requested by the Hosted Buyer is to be settled directly with the hotel by the Hosted Buyer before departure along with any incidentals from your stay (i.e. all costs incurred).

h) Hosted Buyer Programme and schedule of pick up and drop off will be communicated by RX to the Hosted Buyer by email.

Individual visa requirements, travel permits, other licences and inoculations will be the sole responsibility of the Hosted Buyer including any necessary costs incurred. RX takes no responsibility where a Hosted Buyer is refused permission to board an aircraft or is refused entry to Germany/denied a visa.

It is the sole responsibility of Hosted Buyers to obtain adequate travel insurance coverage for their stay, and it is recommended to have adequate cancellation insurance for their baggage and medical insurance, as well as any travel-related costs due to cancellation or otherwise.

a. inter airport Europe is a trade event owned and organised by RX.

b. These Terms and Conditions shall be governed by and construed in accordance with English law.

c. Successful applicants will only be accepted as Hosted Buyers if they have read and agreed to these terms and conditions.

d. RX reserves the right to remove a Hosted Buyer from the Hosted Buyer Programme at its complete discretion without liability if it is in the best interests of RX and the Exhibitors or if their attendance is likely to damage the goodwill or reputation of the Event.

e. Persons participating in the Event from the same company as the Hosted Buyer or those who are accompanying the Hosted Buyer are not included in any offers regarding the Hosted Buyer Programme.

f. Hosted Buyer does NOT intend to sell or promote their product at the Event. This may result in the cancellation of scheduled appointments and accommodation.

g. Hosted Buyers are asked always to show etiquette by responding to Exhibitor meeting requests in a timely manner, checking regularly for new meetings requests and messages from Exhibitors

h. Hosted Buyers must be open to receiving reminders with regard to the Hosted Buyer Programme commitments, especially where deadlines or requirements are not being met.

i. RX reserves the right to unilaterally amend these terms at any time without prior written notice and / or remove any Hosted Buyer from the programme and to withdraw accommodation, and pre-scheduled appointments at its complete discretion without liability if it determines that it is in the best interests of the Event and the Exhibitors, or their attendance is likely to damage the goodwill or reputation of the Event.

j. Completion of an online or other application form applying to become a Hosted Buyer at the Event does not automatically guarantee a place at the Event. Applicants will be notified in writing by the Show Team if their application is successful. The Show Team's decision is final. Only one application form may be completed by each proposed participant, and only the first application form will be accepted. Applicants must be over the age of 18

k. These Terms and Conditions and any dispute, controversy, proceedings or claim of whatever nature arising out of or in any way relating to these Terms and Conditions, the validity and performance hereof or their formation (including any non-contractual disputes or claims), shall be governed by and construed in accordance with English law (save that the conflicts of law principles will be expressly excluded). The parties hereby irrevocably acknowledge and agree that the English courts shall have exclusive jurisdiction in respect hereof.

Force Majeure shall include, but not be limited to: fire; casualty; flood; epidemic; pandemic; World Health Organisation travel advisory or travel alert; earthquake; explosion or accident; blockade embargo; inclement weather; governmental restraints; restraints or orders of civil defence or military authorities; act of public enemy; riot or civil disturbance; act or threatened act of terrorism, strike, lockout, boycott or other labour disturbance; venue cancellation; inability to secure sufficient labour; technical or other personnel failure; impairment or lack of adequate transportation facilities; inability to obtain condemnation, requisition or commandeering of necessary supplies or equipment; general fuel or energy shortages, local, state or federal laws, ordinances, rules, orders, decrees or regulations whether legislative, executive or judicial, and whether constitutional or unconstitutional; or acts of God or any other cause or causes not reasonably within the control of RX. RX, its agents, its employees and its subcontractors shall not be liable for loss, damage or delay resulting from a Force Majeure event, or any other circumstances outside RX’s or its subcontractors’ control which shall make it impossible or inadvisable for RX, using its reasonable discretion, to hold the Event at the time and place provided or interferes with RX’s ability to get the Hosted Buyers to the Event or to provide flights, hotels, transfer appointments, events or other services to Hosted Buyers. RX reserves the right to re-schedule the Event at another date and/or at an alternative site which will be advised to the Hosted Buyer by email.

RX will use your personal information for the purposes of fulfilling these terms and conditions, including disclosure to travel and destination management companies, conference service providers as well as to our Exhibitors in connection with your attendance at the Event, and subject to the RX privacy policy available at https://privacy.reedexpo.com.

By agreeing to these Terms and Conditions, the Buyer provides consent for RX to send communications relating to that Event edition, to be sent via email, including but not limited to:
